Google has expanded access to its Pinpoint research tool, removing previous restrictions that limited the platform to journalists and academic researchers. The tool, which is part of the Google Journalist Studio, allows users to upload, transcribe, and search through massive collections of documents, audio, video, and image files. While Pinpoint offers advanced indexing capabilities for up to 200,000 files per collection, it functions primarily as an organizational and discovery engine rather than a generative AI model.

Pinpoint enables users to manage complex research by indexing large volumes of unstructured data. According to Google’s official documentation, the platform supports PDFs, images, and audio/video files. Once a user uploads files into a collection, the system uses optical character recognition (OCR) to make scanned documents searchable and utilizes speech-to-text technology to transcribe audio and video in over 100 languages.

The platform is designed to identify “entities”—such as people, organizations, and locations—automatically. By clicking on these identified entities, users can navigate directly to the specific instances where they appear within the source material. This functionality allows researchers to track references across thousands of pages of text or hours of recordings without manual indexing.

While both Pinpoint and NotebookLM are free services provided by Google, they serve different functional requirements. Pinpoint is built for archival storage and high-volume data retrieval. It supports collections of up to 200,000 files, making it suitable for analyzing large-scale document troves, such as public record requests or historical archives.

NotebookLM, conversely, is built for synthesis. It is designed to act as a “personalized AI” that uses a user’s uploaded documents to generate summaries, study guides, timelines, and audio overviews. While Pinpoint excels at locating a specific mention in a mountain of data, NotebookLM is intended to help users understand, connect, and reformat the information they have already collected.

Google states that documents uploaded to Pinpoint are not used to train the company’s large language models. According to the Pinpoint privacy policy, uploaded files remain private unless the user specifically chooses to publish the collection for public access.

The platform does not currently offer a dedicated mobile application, though it remains accessible via mobile web browsers. Users should note that storage limits apply; standard accounts typically begin with 1GB of storage, though journalists and academics can apply for increased capacity through the Google Journalist Studio portal.

Limitations for research workflows

Current users should be aware of several technical constraints. AI-driven features, such as automatic labeling and summarization, remain in beta and may occasionally produce errors or misidentify context. Furthermore, there is no direct integration between Pinpoint and NotebookLM, meaning users must manually download and re-upload files if they intend to transition from raw data discovery to generative analysis. Because processing occurs on Google’s servers, the service may not meet the security requirements for highly sensitive or confidential data.
