Core Responsibilities:
the Programme Support Specialist will work closely with the Youth Executive Secretary, providing crucial support in the following areas:
1. congress Coordination & Implementation:
Lead the coordination and oversight of all phases of the second All Africa Youth Congress,encompassing preparation,execution,and comprehensive reporting. This includes managing timelines, resources, and stakeholder engagement.
Manage logistical arrangements for Congress events, including venue selection, catering, and technical support.
Oversee the planning and execution of pre-Congress youth engagement initiatives designed to build momentum and participation.
2. Logistical & Administrative Support:
manage all travel arrangements for participants and organizers, including booking flights, securing visas, arranging airport transfers, and managing accommodation. As of 2024, international travel within Africa has seen a 15% increase due to improved regional connectivity and economic growth, making efficient travel coordination even more critical.
Serve as the primary point of contact for all communications related to the All Africa Youth Congress,managing incoming calls,correspondence,and inquiries.
Maintain accurate records and documentation related to Congress activities, ensuring compliance with organizational standards.
3. Documentation & Reporting:
Develop and prepare comprehensive reports, presentations, and other essential documentation to track progress, highlight key achievements, and inform decision-making.
Assist in the creation of compelling content for Congress promotional materials, including website updates, social media posts, and newsletters.
Undertake additional duties as assigned, demonstrating flexibility and a proactive approach to problem-solving.Essential Qualifications & Skills:
Possession of a diploma or bachelor’s degree in a relevant field such as theology, project management, administration, communications, or a related discipline.
A minimum of one year of demonstrable experience providing programme support within a fast-paced office environment.
Remarkable administrative and organizational skills, with a proven ability to manage multiple tasks simultaneously and prioritize effectively.
Strong interpersonal and dialog skills, enabling effective collaboration with diverse stakeholders.
Proficient in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) – advanced Excel skills are a plus.
Fluency in written and spoken English is mandatory. The ability to communicate in additional African languages would be considered a significant asset, given the pan-African nature of the Congress.
Familiarity with event management software and online collaboration tools is highly desirable.
