The U.S. Department of Veterans Affairs (VA) is actively recruiting a Medical Records Administration Specialist for a virtual position. Position Overview

The Medical Records Administration Specialist will assist the Chief and Assistant Chief of Health Information Management in setting goals and objectives for the department, aligning with the mission and vision of the Veterans Health Administration (VHA) and the VA Medical Center. This role requires subject matter expertise, interpretation of regulations, and a strong understanding of medical coding and legal requirements related to health records.

Key Responsibilities

  • Provide training to department, clinical, and administrative staff on Health Information Management (HIM) topics.
  • Conduct quality improvement projects.
  • Deliver presentations on relevant HIM topics.
  • Stay current with emerging issues and trends in the HIM field.
  • Perform audits and present findings to staff and leadership.
  • Analyze and report on HIM performance.
  • Retrieve data for special studies.
  • Serve as a primary resource for VHA leadership.
  • Act as a Subject Matter Expert for recent technology assessment and usability.
  • Assist with documentation corrections.
  • Collaborate with clinicians to address health record problems.

Qualifications

Applicants must be U.S. Citizens and proficient in written and spoken English. A background/security investigation will be required. Selected applicants will be required to complete an online onboarding process and provide acceptable forms of identification.

Basic Requirements

  • Experience: Three years of experience in medical records, including preparation, maintenance, and management of health records and health information systems, demonstrating knowledge of medical terminology, coding, and administrative/legal requirements.
  • Education: A bachelor’s degree or higher from an accredited college or university with a major in health information management or a related field with at least 24 semester hours in health information management or health information technology.
  • Experience/Education Combination: Equivalent combinations of experience and education may also qualify applicants.

Certification Requirements

Persons hired or reassigned to MRA positions must hold one of the following certifications:

  • Coding Certification through AHIMA or AAPC (e.g., CCS, CCS-P, CPC, COC, CIC).
  • HIM Certification through AHIMA (e.g., RHIT, RHIA).
  • Health Data Analyst Certification through AHIMA (e.g., CHDA).

GS-11 Grade Determination

In addition to the basic requirements, GS-11 applicants must have one year of experience equivalent to the next lower grade level. They must also demonstrate:

  • Skill in performance and process improvement techniques.
  • Ability to advise management on health record documentation and HIM practices.
  • Ability to plan, develop, and evaluate health information management processes.
  • Ability to ensure compliance with legal, ethical, and regulatory guidelines.
  • Ability to analyze and interpret data.

Conditions of Employment

  • U.S. Citizenship is required.
  • Selective Service Registration is required for males born after December 31, 1959.
  • Participation in the seasonal influenza vaccination program is mandatory for all Department of Veterans Affairs Health Care Personnel.
  • A 1 or 2-year trial period will be required.
